Forward Planner

Job Responsibilities:

  • Responsible for creating draft schedules in the Hotel Operations Scheduling Tool against established deadlines and presenting these schedules to the responsible onboard departments for approval or modification. 
  • Effectively enters and maintains voyage and event schedules for both current future voyages.
  • Responsible for ensuring all published current and future events are accurately reflected in all shipboard systems.
  • Accountable for and takes ownership of a consistent product delivery and correctly applies the Service Excellence philosophy. 
  • Updates respective parties daily with all additional changes after export. 
  • Consistently meets established deadlines and works collaboratively with onboard and shoreside personnel.  Meets deadlines and reports progress to Shoreside stakeholders. 
  • Monitors and administers Event Reservation Systems, ensuring functionality and incorporation into shipboard operations.  
  • Regularly communicates with shoreside Brand SME and acts as onboard liaison. 
  • Monitors all related operating systems and identifies opportunities for streamlining operational efficiencies.  
  • Collaborates with onboard leadership regarding all onboard activity schedules to ensure optimum balance across guest experiences and identifying potential conflicts.
  • Collaborates with Entertainment Director, and Brand and Business Director to ensure revenue generating events are not in conflict. 
  • Monitors functionality of software/systems and reports any issues to appropriate IT personnel.

  • Shares best practices and efficiencies with the Entertainment leadership team and colleagues. 
  • Embraces Company updates and strategies to deliver on the guest experience commitment.
  • Confidently performs General Emergency Procedure’s and duties as directed.
  • Promptly helps coordinate onboard resources to respond to outbreak situations that necessitate increased sanitation levels.

Qualifications & Experience:

  • Minimum 3 years' related experience in Entertainment/Events.
  • Thorough knowledge of Events Reservation Systems or Events Management Systems.
  • Fluent English language skills.
  • Organized, detail-oriented, systematic, computer savvy, data-driven, analytical.
  • Ability to thrive in a large multinational team.


  • 6 months on-board, followed by 2 months of vacation
  • Single cabin with private bathroom facilities
